Change Einstein Activity Capture Permissions for Sales Engagement Basic Users
Salesforce is making a significant update to the way permissions are handled for Einstein Activity Capture for Sales Engagement Basic Users. Starting with the Spring ’25 release, the Sales Engagement Basic User permission set will no longer include access to Einstein Activity Capture. This update affects how administrators manage permissions for users who rely on this feature.
Understanding the Change
Previously, administrators could grant access to Einstein Activity Capture through the “Use Einstein Activity Capture” permission, which was included in the Sales Engagement Basic User permission set. However, beginning January 1, 2025, this access will require a separate permission set called the Standard Einstein Activity Capture permission set. The “Use Einstein Activity Capture” app permission will be removed from the Sales Engagement Basic User permission set, as well as any permission sets cloned from it.
Why This Update Matters
This change ensures more granular control over access to Einstein Activity Capture. By moving this feature to a dedicated permission set, organizations can better manage and secure the use of this powerful tool. It also aligns permissions with Salesforce’s evolving security and user management strategies, ensuring users have the appropriate level of access based on their roles.
What Administrators Need to Do
To maintain uninterrupted access to Einstein Activity Capture for Sales Engagement Basic users, administrators must take action before the end of 2024. Specifically, admins should assign the Standard Einstein Activity Capture permission set to any users who previously accessed Einstein Activity Capture through the Sales Engagement Basic User permission set or its clones.

Benefits of This Update
While this change requires a bit of adjustment, it brings several advantages to both users and administrators. For users, it ensures continued access to Einstein Activity Capture, which enhances productivity by automatically syncing emails and calendar events with Salesforce. For administrators, it provides clearer and more streamlined permission management, reducing the risk of granting unintended access. Additionally, having a dedicated permission set simplifies audits and improves overall security.
A Path Forward for Seamless Transition
This update is part of Salesforce’s commitment to optimizing user experiences while maintaining robust security and administrative control. By transitioning permissions for Einstein Activity Capture to a separate standard permission set, Salesforce is empowering organizations to better align their access policies with their operational needs. With proactive planning, administrators can ensure a smooth transition for their teams, avoiding any disruption in day-to-day workflows.
It’s essential for organizations to prioritize these changes and ensure their users are set up for success. By leveraging the Standard Einstein Activity Capture permission set, businesses can continue to harness the benefits of this feature without interruption.
